Job Description
Overnight operations run on accuracy, calm communication, and steady follow-through, and this role sits at the center of it all. At AC Hotel San Antonio Riverwalk in San Antonio, TX, the Night Auditor prepares and completes Night Audit work while managing front desk operations during the 11:00 p.m. to 7:00 a.m. shift. From guest registration and reservations to end-of-day reporting and security walks, you help keep the property running smoothly throughout the night.
Key Responsibilities
- Provide a friendly, service-oriented approach to guests and associates during every interaction.
- Maintain regular attendance in line with Avion Hospitality standards and the hotel’s scheduling needs.
- Keep a high standard of personal appearance, including proper uniform and name tag use per brand standards.
- Follow Avion Hospitality standards and regulations to support safe and efficient hotel operations.
- Initiate and complete the End of Day process.
- Run all reports required for the Food and Beverage audit and complete the daily Night Audit computer procedures checklist.
- Balance the day’s work, including items such as movie revenue, telephone postings, valet laundry, and paperwork from the server and desk agent.
- Handle cashiering responsibilities according to Front Office procedures and Avion Hospitality standards.
- Maintain Front Office computer system operations according to Avion Hospitality standards.
- Fulfill all Front Office functions during the overnight hours of 11:00 p.m. to 7:00 a.m.
- Ensure periodic checks by the Midnight House Attendant are completed for building and guest corridors to confirm areas are locked and secured (property specific).
- Handle and follow through on guest requests daily from 11:00 p.m. until 7:00 a.m.
- Follow safety and emergency procedures per Avion Hospitality standards and maintain proper record keeping (for example, log books).
- Stay familiar with Avion Hospitality policies and house rules.
- Complete initial direct bills daily, place them on the Property Accountant’s desk, and attach folio or banquet check backup to the bills.
- Maintain radio contact with other associates for the entire shift.
- Use working knowledge of security procedures and support attentive, courteous service from associates to guests, managers, and fellow associates.
- Prepare and distribute the Daily Flash Report as needed; transfer master or house accounts as necessary.
- Distribute assigned work items (such as revenue printouts, charge and paid folios, vouchers, and checks) as directed by S.O.P.’s.
- Train new Night Auditors when requested by management.
- Run morning reports according to Avion Hospitality procedures.
- Assign or deliver newspapers daily and deliver or assign Express Check-Outs.
- Support property-specific nightly walk-through needs, including removal of room service trays and straightening the pool and Jacuzzi area.
- Handle items for Lost and Found according to standard procedures.
- Complete reports requested by management in a timely manner, plus miscellaneous duties such as resetting Food and Beverage P.O.S. where necessary, distributing credit “Watch List” items, and preparing a daily revenue summary.
- As applicable to the hotel, assist guests with food orders and serve food and beverage items while demonstrating suggestive selling and maintaining a clean, organized environment.
- Attend meetings as required by management and perform other duties requested by the Guest Services Manager or other members of management.
Front Office & Technology
- Proficiency with Windows operating systems, company-approved spreadsheets, and word processing.
- Working knowledge of Food and Beverage P.O.S.
Minimum Qualifications
- At least 1 year of progressive experience in a hotel or related field required.
- High School diploma or equivalent required.
- College course work in a related field is helpful.
- Previous supervisory responsibility preferred.
- Ability to work independently with minimal supervision.
- Knowledge of Accounting Principles and ability to work with financial information and basic arithmetic functions.
- Strong problem solving and troubleshooting skills for guest issues and emergency situations.
- Ability to clearly convey information and ideas, evaluate options quickly and accurately, and remain composed under pressure.
- Ability to assimilate complex information from disparate sources and adjust as needed to meet constraints.
- Effective listening skills to understand and clarify concerns from coworkers and guests.
- Ability to work well in stressful, high pressure situations and manage workplace problem solving effectively.
