Accounts Payable Specialist
Job Description
Support the accounts payable workflow onsite at Galt House Hotel in Louisville, KY.
Responsibilities
- Set up and maintain accurate vendor records and complete vendor and contract files.
- Build working knowledge of the chart of accounts.
- Follow company policies and procedures for invoice approval and disbursement of funds.
- Accurately key invoices and check requests into the accounts payable system using knowledge of budget definitions.
- Use Birchstreet to perform a three-way match prior to payment.
- Verify proper approval for all disbursements.
- Reconcile credit card transactions with monthly ACH withdrawals.
- Schedule check runs to meet payment terms and mail payments to vendors.
- Process expense reports and check requests.
- Reconcile monthly vendor statements.
- Participate in month-end closing activities.
- Maintain monthly intercompany payments and billings.
- Prepare standard journal entries and adjusting journal entries as needed.
- Perform other related duties as assigned.
Requirements
- Complete high school.
- 3 years of accounts payable experience or related function, or an equivalent combination of education and experience.
- Associate or bachelor’s degree in Accounting, Finance, Hotel Management, or related field is preferred (partial education requirement is not specified beyond being preferred).
- Prior hotel accounting or related industry experience is preferred.
- Proficiency in Microsoft Excel, Microsoft Outlook, Internet Explorer, and Word.
- Experience with Birchstreet, NVoice Pay, and/or AccountingWare is a plus.
- Attention to detail.
- Basic keyboarding skills and calculator use required.
- Ability to work as a team with other departments and divisions.
- Excellent written and verbal communication skills.
- Working knowledge of accounting information systems.

Working Conditions
- Office environment with appropriate dress required.
- Basic hours: 8 am to 5 pm, Monday through Friday.
- Overtime can be required when necessary to meet project or month-end deadlines.
