Housekeeping Coordinator
Job Description
Manage room assignments and coordinate daily housekeeping operations to support guest service, compliance, and smooth communication across departments.
Responsibilities
- Print the Housekeeping report and VIP report, and review room discrepancies to correct records in the system.
- Assign rooms to Guest Room Attendants using the staffing guide; ensure assigned room credits meet the criteria in LSOP Rooms/Credits.
- Document guest and room-specific requests clearly on the assignment sheet (for example: feather free, late check out, VIP, time of service), including marking the assigned lunchtime.
- Make copies of all GRA assignment sheets for filing and to provide copies to the supervisor or manager.
- Answer housekeeping office phones and record all messages on the log sheet; dispatch messages and calls in a cordial manner (including Lost and Found, Refuse Service, Do Not Disturb, over rooms, and Work Orders).
- Record facilities and maintenance work orders and log them on Guest ware.
- After receiving inventory sheet control, place purchase orders based on supply needs and special request supplies; track order status through approval, delivery, and receipt of required documents.
- Assign, replace, remove, and/or change rooms as needed to ensure GRAs complete their credits and all rooms are covered appropriately.
- Review occupancy forecast to adjust schedules and ensure coverage for the next day.
- Maintain cleanliness and order in the housekeeping office area.
- Inspect Room Attendants’ work performance daily within the assigned section to verify standards and productivity levels.
- In the absence of the Housekeeping Manager or Assistant Housekeeping Manager, inspect V.I.P. rooms and report availability to the Front Office according to hotel standards.
- Oversee end-of-day floor closing, ensuring Room Attendants’ carts are clean and restocked.
- Ensure daily assignment records are completed, signed off, and submitted to the Housekeeping Office on time.
- Maintain key control.
- Handle Lost and Found items according to established standards.
- Monitor cleanliness and organization of Room Attendants’ carts, linen closets, control closets, stairways, and landings.
- Oversee daily duty assignments so Room Attendants and House Attendants carry out work assignments.
- Carry an active pager/radio to stay in contact with Front Office and/or Engineering during the shift.
- Report progress of all out-of-order rooms to the Guest Services Manager per standards.
- Initiate repair and maintenance work orders and forward them to Engineering; follow through on each work order until completion.
- Assist with training of housekeeping staff.
- Ensure completion of cleaning projects on a biannual basis.
- Support overall guest satisfaction.
Requirements
- High School diploma or equivalent required; college course work in a related field helpful.
- Two to three years of progressive experience in a hotel or related field preferred.
- Previous supervisory responsibility preferred.
- Requires bending and reaching.
- Prolonged periods of standing and/or walking.
- Requires eye/hand coordination.
- Requires use of standard cleaning equipment.
- Requires basic math.
- Requires ability to distinguish letters, numbers, and symbols.
- Ability to and comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (MSDS), and other instructions.
- Exposure to cleaning chemicals.
- Effective verbal and written communication with employees and guests in an attentive, friendly, courteous, service-oriented manner.
